Terms & Conditions for Hospitality Clients (Hotels, Resorts, B&Bs, etc.) and BeVisible Hospitality Network Members

1. Acceptance of Terms

By engaging with BeVisible Online Solutions Ltd for AI agent services, private channel services, or hospitality-related solutions, you acknowledge that you have read, understood, and agreed to these terms. If you do not agree, please refrain from using our services.


2. Project Assessment & Quotation

Each hotel AI project begins with an assessment meeting. A tailored quote is then provided based on the scope, complexity, and venue size. One voice AI agent is assigned per venue. Pricing is set as a one-time fee, split into:

A retainer at project start

Final payment before deployment


3. Support & Maintenance

All hospitality AI projects include approximately 3 months of free support to ensure optimal agent performance. Ongoing support may be discussed based on client needs and mutual agreement. Each project is tailor-made.


4. Operational Costs & Fees

Any operational or third-party fees (e.g., email or voice call usage) will be outlined before deployment. These fees are the responsibility of the client.


5. BeVisible Hospitality Network (BVHN) Integration

Clients purchasing AI agents may receive exclusive offers when joining BVHN membership. Once joined, BVHN member-only rates and discounts may apply when purchasing AI Agents. Discounts and rates may vary at the sole discretion of BeVisible Online Solutions and based on the size of the project.


6. Payment & Billing

Payments are accepted via Stripe, Wise, Airwallex, or invoice. Fees are agreed during the quotation phase. Once the client agrees to proceed with the purchase of an AI agent, an invoice with T&C will be sent to the client to be signed and paid for as specified in point 2. Failure to pay may result in cancellation of services after 7 days from failed payment notification.


7. Scope Adjustments and Additional Support

Consultations are booked in advance. Additional work beyond the original scope may incur a fee. Additional support may be subject to additional fees. The client is required to book a consultation appointment to request a review for additional support and potentially receive a new quotation on a new project if required.


8. Intellectual Property

All assets and materials provided are for the client's internal use only. Reproduction, resale, or redistribution is prohibited. Once the project is fully paid and completed, the AI Agent is the property of the client. No data nor information is retained by BeVisible Online Solutions Ltd. Please refer to the Privacy Policy and AI Usage Compliance Policies on this site for more info.


9. Confidentiality

All client discussions and data shared are kept confidential and used solely for service delivery unless written permission is granted.


10. Termination

Either party may terminate the service with 30 days’ written notice. BeVisible Online Solutions Ltd may terminate services immediately in cases of misconduct or breach. Retainer fees are non-refundable. Refunds are only provided at the sole discretion of BeVisible Online Solutions Ltd after the evaluation of each case.


General Clauses Applicable to All Clients

BeVisible Online Solutions Ltd is not responsible for third-party service performance or limitations. We reserve the right to change pricing or service scope with appropriate notice. All legal notices must be addressed in writing to our registered office.


PARTNER PRIVATE CHANNELS ON BEVISIBLE HOSPITALITY NETWORK:

BeVisible Online Solutions Ltd (“BeVisible”) offers hospitality partners the opportunity to host private channels within the BeVisible Hospitality Network (BVHN). These channels provide a dedicated space for partners to connect with their members, share content, and build community without the limitations of social media algorithms.

Early Partner Offer

Early partners benefit from a 20% discount on their private channel subscription fee, locked in for the first 12 months. The discount is also applicable to the additional monthly post scheduling services.

Service Inclusions & Responsibilities

BeVisible manages all system notifications between the private channel and its members.

BeVisible handles membership administration, access management, and technical operations, so partners can focus on their audience.

Partners' Content creation is not included. Partners are responsible for preparing their own content for their channel.

Partners may post unlimited times and share their content freely. Partners may also share links to external content (e.g., webinars, courses, or events) for their members.

Channel admins can use the @everyone feature to notify all members at once. Standard members do not have this feature, to minimise notification costs and reduce system load.

Member Subscriptions

Free Access to Partner Channels – Members invited by a partner may join that partner’s private channel at no cost.

Upgrade to Full BVHN – Members have the option to upgrade for $25/month (instead of the standard $30/month) to gain access to all BVHN public channels and the full network experience.

Members can cancel their subscription at any time via Stripe.

Members are not entitled to refunds.

Partner Commission

Partners earn a 30% recurring commission on every member from their private channel who upgrades into full BVHN membership.

Commission is calculated on the gross subscription fee before Stripe deductions. BeVisible absorbs payment processing fees.

Partner Subscription & Cancellation

Partners may cancel with 30 days’ written notice.

No refunds are provided for any partial month if a cancellation occurs mid-billing cycle.

When a Partner Cancels Their Private Channel: Free Member Access to the Private Channel changes

All free members of that partner’s private channel will lose access to that channel on the cancellation date.

Any content, discussions, or events exclusive to that channel will no longer be available. Members who have upgraded to the full BVHN experience will be notified by BeVisible in time to decide whether they want to keep their subscription.. The Partner is solely responsible to notify all their members in case they will be cancelling their subscription with BeVisible.

Transition to Standard BeVisible Membership

Members will be notified at least 14 days before the channel closes.

They will be given the option to continue in the BeVisible Hospitality Network as standard members at the standard $30/month rate.

If they choose to stay, their subscription will be transferred to a standard membership plan, keeping access to all other BeVisible content, channels, and features (just not the former partner’s private channel).

If Members Do Not Wish to Stay

Their subscription will be cancelled at the end of their current billing cycle. They will also be able to cancel their subscription via Stripe.

T&Cs Clause – Member Capacity and Plan Changes

If a partner’s private channel membership exceeds the maximum capacity of their current plan, BeVisible will not restrict access for existing members.
Should the member count exceed the plan’s limit — for example, from 250 to 300 members — BeVisible will review the situation with the partner and adjust the subscription to the next tier at the start of the following billing cycle.
Partners will be notified in advance of any changes. This ensures a smooth upgrade process without disruption to member access.

Pricing
Private channel subscription pricing is subject to change in line with current global market conditions and may vary from time to time. Partners will be notified of any changes in advance.

Data & Privacy
For all members within a private channel, BeVisible only stores name and email address.
All payment details and any additional information entered into Stripe or Fast Pay payment processing systems are stored directly and securely by those providers, in accordance with their own privacy and security policies.

Disclaimer
BeVisible acts as the hosting and technical provider for partner channels and is not responsible for the quality, accuracy, or outcomes of partner-provided content, services, or interactions. Any disputes, complaints, or refund requests related to a partner’s services must be addressed directly with the partner.

BeVisible Online Solutions does not issue refunds for subscription fees paid to access the platform, including fees for access to partner content. Users are encouraged to review the partner’s offerings before subscribing.
